Parent Handbook COVID-19 Addendum
Virtual Visitation Procedure

NOTE: These procedures apply specifically to virtual on-site visitation and will
supersede any potentially conflicting elements of the current Parent Handbook
(version April, 2020). If you detect any apparent inconsistencies, please bring them to
the attention of Visitation Center for clarification or resolution.
1. All families wishing to use virtual (i.e., video, on-site) visitation will be provided
with a re-orientation to the Center’s modified services.
2. Parents will be sent a copy (via email or snail mail) of this revised set of
procedures.
3. Following receipt of, and opportunity to review, this document, a phone or video
chat will be conducted to review the procedures and address any concerns
and/or answer any questions.
4. Next, a practice session will be conducted on separate days and times with the
Custodial Parent (“CP”) and child/ren and the Non-custodial Parent (“NP”). The
purpose of these sessions is to familiarize all family members with the
procedures, plan possible activities, and to anticipate, to whatever extent
possible, concerns that might arise with this type of visitation.
5. Once all practice sessions have occurred, the initial virtual visitation will be
scheduled.
6. The day before a scheduled visit, staff will contact both parents to confirm the
appointment and ask screening questions regarding health and to provide a
reminder to bring a mask for everyone coming into contact with the Center’s
staff. Center staff will also be wearing masks. Symptoms screened for and
reminders include:
a. Fever
b. Shortness of breath
c. Coughing
d. Headaches
e. Other signs of illness
f. Contact with or exposure to those with coronavirus
g. Must be wearing mask prior to having contact with any Center staff
beginning with the Deputy Sherriff.
h. If any symptoms are present or reported, the visit will be canceled. The
Parent will be directed to contact medical professional for appropriate
steps such as quarantine/isolation/treatment. No future visits will be
scheduled until medically cleared.
i. The other parent will be notified of the cancellation.
7. On the day of the scheduled visitation, prior to the scheduled time, the Monitors
will set up a video link via: Skype. No recording of visits will occur. Only one
family will be visiting at a time.
8. All audio/video adjustments before and during the visits will be conducted by the
Monitors on either video screen.
9. The NP will arrive 30 minutes prior to the scheduled start time of the visit.
10. If the NP is more than 10 minutes late, the visit will be automatically canceled.
The CP will be notified.
11. The NP will be screened by the Deputy Sherriff; and asked about symptoms:
a. Fever
b. Shortness of breath
c. Coughing
d. Headaches
e. Other signs of illness
f. Contact with or exposure to those with coronavirus
g. The NP must be wearing a mask prior to contact with any Center Staff
beginning with the Deputy Sherriff.
h. If any symptoms are present or reported, the visit will be canceled. The
Parent will be directed to contact medical professional for appropriate
steps such as quarantine/isolation/treatment. No future visits will be
scheduled until medically cleared.
i. The other parent will be notified of the cancellation.
12. If the visit is going to occur, the NP will then place all items (unnecessary for the
visit) into the locker (e.g., phone, car keys, etc.).
13. The NP will go to the bathroom to wash hands.
14. The NP will go to the waiting room (the small visitation room); the Monitor will
check in with the NP both specifically about any visit-related issues and more
generally.
15. At the visitation time, the CP will arrive.
16. The CP and the child/ren will be screened by the Deputy Sherriff; and asked
about symptoms:
a. Fever
b. Shortness of breath
c. Coughing
d. Headaches
e. Other signs of illness
f. Contact with or exposure to those with coronavirus
g. The CP and child/ren must be wearing masks prior to contact with any
Center Staff beginning with the Deputy Sherriff.
h. If any symptoms are present or reported, the visit will be canceled. The
Parent will be directed to contact medical professional for appropriate
steps such as quarantine/isolation/treatment. No future visits will be
scheduled until medically cleared.
i. The other parent will be notified of the cancellation.
17. The CP and the child/ren will go to the bathroom to wash hands while the Deputy
Sherriff stands by.
18. The Monitor will do a brief check-in with the CP and the child/ren.
19. The CP will be invited to stay in the adjacent hallway at tables or otherwise stay
close by, but not in the actual Center.
20. Simultaneously, one Monitor will escort the NP to the video visitation room (on
the NP side) while the other Monitor will escort the child/ren to the other video
visitation room (on the CP side). In other words, they will stay on separate sides
of the Center. No crossover or physical contact between the NP and the child/ren
will occur. No items will get exchanged nor any meals physically together
(although they could, for example, each bring something to eat, and “share” a
meal that way).
21. The Deputy Sherriff will scrub down the NP waiting room and close the door.
22. The visit will commence via Skype. Most visits will last no longer than 15 to 30
minutes.
23. If any unexpected concerns or issues arise during the visit, the visit might be
paused while the Monitors check in with each other. The Deputy Sherriff will wait
with the NP until the Monitor returns and the visit resumes.
24. The Monitor is available to assist the child/ren in staying engaged on the video
screen.
25. At the conclusion of the visit, the CP returns. The same screening will occur as
with our normal physical visitation (e.g., wanding and checking of bags).
26. On the CP side, the Monitor will check in with the CP and the child/ren about
how the visit went and/or any other concerns.
27. The CP and the child/ren will then leave.
28. The Monitor will scrub down the room including all surfaces, door handles,
chairs, keyboards, and bathroom.
29. On the NP side, the Monitor will check in about the NP’s experience of the visit
and/or any other concerns.
30. The Monitor will scrub down the room including all surfaces, door handles,
chairs, keyboards and bathroom.
31. After 30 minutes, the NC parent will retrieve items from the locker and then
leave.
32. The Monitor will finish cleaning including lockers, door handles and other
surfaces.
33. The entire Visitation Staff will debrief and prepare for the next visit.
